🔔✨ Boost Your Efficiency with Workflows on Kraaft!

Workflows on Kraaft are here to simplify your life and save you precious time. With this feature, you can be instantly notified when important events occur on your projects and automatically send completed reports to clients or the project manager. 🤯 This ensures that all stakeholders are always up to date without any extra effort on your part. Let’s explore together how to make the most of this feature! 🚀

Types of Available Alerts 🚨:

  1. Notifications: Stay informed in real time with notifications on your device.

  2. Messages in Conversations: Receive alerts directly in the conversation. ⚠️

  3. Emails: Get notified by email to ensure you don’t miss any important information

Examples of Use:

  • Hazard Alert: Be immediately informed when a problem arises, so you can react quickly and minimize impacts. 🚨

  • Task Validation: Receive a notification each time a task is validated, ensuring precise and real-time tracking of work progress. 🚧

  • Task or Site Designation: Be notified when you are assigned a new task or a new site 👷‍♂️

  • Report Submission: Send a report directly to stakeholders as soon as it is completed to save time. 📄

🧑‍💻 How to Set Up Workflows?

Only administrators can configure workflows. Here’s how to do it:

  1. On your computer, click on "Workflows" (in the left menu).

  2. Click on "New Workflow".

  3. Enter the name of your workflow.

  4. Choose the relevant report or conversation.

  5. Set the condition that should trigger the workflow (for example: as soon as the "Validation" box is checked).

  6. Choose the action of your workflow (for example: send an email).

  7. Fill in the content of the action and choose the recipients among the members on Kraaft (The message that should be displayed, if you want to add the PDF report, or just photos, the person to be notified, etc.).

    Note: if the person does not have a Kraaft account, they can still receive an email. You just need to enter the person’s email address.

  8. Click on "Save Changes".

  9. Your workflow is now active. You can disable and re-enable it whenever you want by clicking the button right next to it.

  10. You can duplicate it, if you want to create a similar workflow and don't wanna start from scratch. You can also delete it.
